Privacy Policy

1. Who We Are
The Harvest House (the "Organization", "we", "us", or "our") is a Texas-based 501(c)(3) nonprofit corporation providing transitional living, workforce development, and mentorship for youth aging out of foster care. You can reach us at theharvesthousetexas@gmail.com or (682) 888-4774.
2. Information We Collect
We collect information you voluntarily provide through our website, including:
- Youth Applications — name, date of birth, phone, email, emergency contact, housing and situational details, personal goals, and any documents you choose to upload.
- Volunteer & Mentor Applications — name, contact info, background experience, areas of interest, and optional resume uploads.
- Donation Information — donor name, email, amount, and payment details processed securely by Stripe (we never store payment card numbers).
- Partnership, Contact, and Speaker Inquiries — name, organization, email, phone, and the content of your message.
- Newsletter Signups — email address only.
- Technical Data — standard web server logs (IP address, browser type, pages visited) for security and analytics.
3. How We Use Your Information
- To review housing applications and determine program fit
- To coordinate volunteers, mentors, and partnerships
- To process donations and issue tax-deductible receipts
- To respond to inquiries and speaking requests
- To send newsletter updates (opt-in only; unsubscribe anytime)
- To operate, secure, and improve our website and programs
- To comply with legal obligations
4. Special Protection for Youth Applicants
Information submitted by or about prospective residents (ages 18–24) is treated with heightened confidentiality. Applications are accessible only to authorized intake staff and are never shared with donors, the public, or any third party without explicit consent, except as required by law or to protect the life or safety of the applicant.
5. How We Share Information
We do not sell, rent, or trade personal information. We share information only with:
- Service providers who help us operate (Stripe for payments, our hosting provider, email delivery via Google Workspace)
- Program partners (trade schools, employers, workforce agencies) only with the resident's written consent
- Government or law enforcement when required by law, subpoena, or to protect safety
6. Payment Security
All payment processing is handled by Stripe, Inc., a PCI-DSS Level 1 certified payment processor. We never see, store, or transmit your full card number. Stripe's privacy practices are governed by their own privacy policy.
7. Cookies & Tracking
We use minimal browser storage to remember newsletter dismissal preferences and maintain admin sessions. We do not currently use third-party advertising trackers. If analytics are added in the future, we will update this policy and honor "Do Not Track" signals where technically feasible.
8. Your Rights
You may request at any time to:
- Access the personal information we hold about you
- Correct inaccurate information
- Delete your information (subject to record-retention obligations for donations and applications)
- Unsubscribe from newsletters or other communications

9. Data Retention
We retain donor records for at least seven (7) years as required for IRS tax-exempt compliance. Application and program records are retained for the duration of the resident's program plus five (5) years of aftercare. Newsletter subscriber data is retained until you unsubscribe.
10. Children's Privacy
Our services are intended for young adults 18 and older. We do not knowingly collect information from individuals under 18. If you believe a minor has submitted information, contact us and we will delete it.
11. Changes to This Policy
We may update this policy from time to time. Material changes will be announced on this page with a revised effective date.
